Primary Objective and Purpose:

Under minimal supervision, provide information management and administrative support for Senior/Managing Vice Presidents in a confidential manner.

Occasional travel may be required.

Essential Functions:

' Provide administrative and production support. Type, copy, route mail, and coordinate with other support staff to ensure smooth implementation of activities.

' Maintain Senior Vice President's and Vice President's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel. Notify attendees and make necessary arrangements.

' Assist Senior Vice President, and Vice President by reading, researching and routing correspondence; drafting signature ready letters and memoranda. Handle correspondence, follow up on pending issues and prepare summary information for review. Authorized to make some decisions on routine matters as directed.

' Communicate and help coordinate information and guidelines from Senior Vice President to individuals and departments.

' Research, and prepare reporting materials (documents, spreadsheets or presentations) for special projects as determined by Senior Vice President.

' As appropriate, interact with Board of Directors and Board of Trustees in scheduling meetings and events. Prepare and proof board presentation materials.

' Answer Senior Vice President's and Vice President's telephones and respond or redirect inquiries and/or take messages as appropriate.

' Establish, manage and maintain an effective and efficient file system. Maintain confidential data.

' Greet and attend to visitors prior to meetings scheduled with Senior Vice President, Vice President and other staff.

' Update Senior Vice President, Vice President, and other staff as appropriate, on progress of tasks/projects assigned and communicate results.

' Provide some or all of the above services to other division staff as directed by the Senior Vice President and Vice President.

' Some post High School training required
' 3 to 5 years related executive administrative support experience
' Fast and accurate typing skills
' Ability to maintain strict confidentiality and represent ICMA-RC
at highest level. Requires discretion and judgement.
' Advanced word processing and spreadsheet proficiency (Microsoft
Word, Excel and Powerpoint)
' Excellent grammar and language skills, accurate spelling and
proofing skills
